We are seeking a highly organised, proactive Executive Assistant to join the CPSU SPSF Group Victorian Branch during an exciting period of renewal and re-energisation.

This is not just an admin role. It is a front-row seat in a fast-paced, member-driven, activist union making real change. You will work closely with the Branch Secretary and Assistant Secretary, managing calendars, coordinating communications, and drafting correspondence in the authentic voice of leadership. You will act as the gatekeeper who keeps priorities sharp and ensures the union's operations run smoothly.

Your work will directly support campaigns, events, strategic decision-making, and member engagement. You will liaise with stakeholders, coordinate complex schedules, and play a central role in making the union more effective and responsive.

Base salary range

$97,955 - $111,142 per annum.

Salary dependent on experience

Entitlements
  • Superannuation of 15.5%, paid on base salary
  • 12 Rostered Days Off (RDOs) per year
  • 4 weeks of annual leave

Role Purpose

The Executive Assistant ensures that the Branch Secretary and Branch Assistant Secretary can operate at peak performance in a fast-paced, high-pressure environment. Highly organised and proactive, this role involves inbox management to prioritise urgent matters, filter communication, and keep the union’s leadership focused on what matters most. This role is also responsible for managing calendars, coordinating meetings, and making sure Branch leadership is prepared with the right information at the right time. Skilled in written communication, the Executive Assistant drafts correspondence in the authentic voice of the Branch leadership.

A confident people manager, they guide executives through demanding schedules and keep meetings on track. With experience in political campaigning, they thrive under pressure, adapt quickly, and balance competing priorities with composure.


Organisational Context

The Community and Public Sector Union, State Public Services Federation Group (CPSU SPSF Group Victoria) is the union that represents Victorian public sector workers. This includes employees in the Victorian Public Service, associated public entities such as statutory authorities, public corporations, and arts and cultural institutions; as well as a handful of community and other third-sector organisations.

CPSU Victoria represents members across a wide range of occupations and departments—policy, administration, regulation, heritage and culture, IT, justice, child protection, corrections, and more. The union is based at Level 4, 128 Exhibition Street, Melbourne, and operates within the national industrial relations system, principally but not only under the Fair Work Act 2009 and the Registered Organisations Act 2009.

The CPSU Victoria has a proud history dating back to 1885, when the first Victorian public service association was formed to secure fair treatment, job security, and independence from political interference. Today, CPSU Victoria continues that tradition—fighting for fair pay, safe workplaces, secure jobs, and respect for the vital work public sector employees do to serve the Victorian community.

The union is a democratic, member-led organisation, governed by an elected Branch Council and Executive. It is affiliated with Victorian Trades Hall and the Australian Council of Trade Unions (ACTU) and works collaboratively with other unions and civil society partners to advance the rights of working people.


Duties Description
Inbox Management
  • Oversee high-volume email traffic by triaging, prioritising, and filtering communication.
  • Ensure urgent matters are escalated quickly, draft responses where appropriate, and maintain a clean, well-structured inbox that keeps executives focused on what matters.
Diary Management
  • Manage complex and frequently changing schedules.
  • Liaise with internal and external stakeholders to secure meetings, balance competing priorities, and ensure executives are briefed and prepared for each engagement.
  • Anticipate clashes and proactively resolve scheduling issues.
Correspondence
  • Draft correspondence in the authentic voice of the Executive Officers.
  • Ensure all communication is accurate, timely, and reflects the organisation's values and strategic goals.
Time & Attention Management
  • Act as a gatekeeper for the Executive Officer's time and focus.
  • Keep Executive Officers on track by managing meeting flow, ushering them in and out of commitments and guarding space for strategic priorities.
  • Balance leadership accessibility with the need to safeguard time, energy, and attention. 
Stakeholder Liaison
  • Act as a key point of contact with members, staff, and external stakeholders.
  • Build strong relationships, handle competing demands diplomatically, and represent the Executive Officers with professionalism and tact.
Campaign & Communications Support
  • Provide support for campaigning activities, including drafting materials, coordinating communications, and assisting with rapid responses to emerging issues.
  • Contribute to the energy and momentum of campaigns by staying focused and adaptable.
  • Support the logistics of campaign event management, including venue bookings, event communications, event catering, and technology.

  • Maintain composure under pressure, handling urgent and unforeseen challenges with confidence.
  • Support executives in high-stakes environments by remaining calm, solution-focused, and dependable in moments of stress.

  • Adapt quickly to shifting priorities, campaign pressures, and unexpected developments.
  • Be ready to pivot between tasks, manage competing demands, and step into new responsibilities as required.
